Is your leadership team pushing to roll out new AI tools, but your users are still struggling with basic issues like working on large/complex files or collaborating effectively? Then you’re starting off with an ineffective AI adoption plan. AI is becoming an increasingly important collaboration tool, so it’s critical to include it as part of your foundation. Construction firms rely on purpose-built platforms like Procore to coordinate RFIs and submittals, document field activity, track progress, and keep projects on schedule. But managing project execution is only one part of the information lifecycle—teams need a way to capture and connect project information across departments, applications, partners, and project phases.

We've all been there. You're a few minutes from a client call, and you need one clear answer before you jump on. So, you open the project tracker then the shared drive, hunting for the latest email. Then you review a Slack thread to check if that blocker got resolved. By the time you dial in, you've burned fifteen minutes and you're still not fully sure you have the full picture. None of those tools failed you—each one had a piece of what you needed.

You’ve seen the demos. You’ve run the pilots. Maybe you even deployed something that works, but is it scaling? Are your users utilizing it on a daily basis, or as intended? Or is it quietly gathering dust next to the last three tools that were supposed to change everything? Scaling AI the way most vendors describe it—connecting more tools and piping more data into more systems—doesn’t lead to progress or productivity. Rather, it results in additional risk.

Ask an AI system a question about your business and, before it can answer, it has another problem to solve: What information actually matters? It has to find the right files. Determine which version is current. Understand how those files relate to a project, client, deal, or other piece of work. Figure out which information applies to the person asking. Then assemble enough of that information to make a useful decision. For someone who works in the business every day, much of that is obvious.
